Terms & conditions
All our rates are quoted on a per room per night basis for Bed &
Breakfast or Dinner, Bed & Breakfast, inclusive of V.A.T unless otherwise stated.
It is assumed that rooms are booked for the maximum occupancy unless
specified at the time of booking, when a single supplement will be
applicable. If this is not specified then a double occupancy rate
will be charged for the room.
Amendments & Cancellation
If a booking is amended (i.e. to fewer nights) or cancelled less than
72 hours prior to arrival, we reserve the right to charge in full for
the cancelled nights. As our deposits paid are non-refundable, we
recommend cancellation insurance.
Discounts/ Special Rates
If you wish to claim a discount, book on a special rate or use a
voucher this must be mentioned at the time of booking. Rates cannot
be altered once the booking has been made. Any vouchers must be
handed in on check-in. Offers/discounts cannot be used in conjunction.
If you wish to dine in the evening we strongly advise you book on arrival, to avoid disappointment. Children's High teas are served between 6 - 7pm.
All guests have complimentary use of our Leisure Club facilities. The
club is open 7.30am - 8.30pm Weekdays, 8am - 8pm Weekends (times may
differ due to circumstances & Bank holidays).
Children Under 16 are not permitted to use the Gym, Sauna's and Steam
room. Under 5 years are not permitted to use the spa. Children are
not permitted in the Swimming Pool between 10am - 11.30am Mon-Fri.
We accept all major credit & debit cards. Personal cheques are only
accepted up to the value of the guarantee card. Company cheques are
only accepted by prior arrangement.
Arrival & Departure Times
Our rooms are usually available from 2pm on the day of arrival. You
should vacate your room by 12pm on the day of departure.
There is ample free parking. We regret that we cannot accept
responsibility for loss or damage to vehicles parked in the hotel car
park during your stay.
Pets are welcome prior to arrangement. There is a charge of £8.50 per
pet per night. Pets are not allowed in the public areas during food
service. We ask that you do not allow your pets onto the soft
furnishings and that they are not left alone in the bedrooms.
Health & Leisure club
The Membership Fees cover the use of the Swimming Pool, Saunas, Steam-
Room, Hydro pool, Sun Terrace and gym though, for safety reasons,
children under 16 are only entitled to use the Swimming Pool and
hydro pool, and then only when supervised by an adult.
Aromatherapy, Massage and Beauty Treatments are available to Members
and Non-Members alike.

Rules Concerning Children
1. Family Membership includes 2 children up to the age of 16
2. Children 0-16 are to be accompanied by an adult at all times.
3. Children are not allowed in the Leisure Club or locker rooms
between 10 & 11.30am Mon-Fri.
4. Children are not permitted to use, or occupy, the gym, sauna
or steam room.
5. All adults pay a £30 Joining Fee.
6. All children pay a £10 Joining fee. Those not included in
Family Membership (i.e. when only one parent is a member, or a family
consists of more than 2 children) then a separate Child Membership
subscription is applicable.
The Flackley Ash Leisure club rules
1. The Club shall be called the Leisure Club (the "Club") and
shall be administered by the Manager of the Club (the "Manager") or
by such person as the Owner shall nominate.
2. Persons wishing to become Members of the Club shall complete
the official application form, copies may be obtained from the Club
office and Hotel Reception. Applicants are required to submit the
form duly completed to the Manager. Each application form must be
accompanied by a cheque/cash/credit card payment in respect of the
relevant entry fee from time to time in force and the appropriate
membership subscription. Application forms for monthly Direct Debit
memberships must be accompanied by a the Direct Debit contract of
payment which should be completed at Hotel Reception with the
i. Absolute discretion is granted to the Owner and the
Manager to reject any application or renewal for Membership without
ascribing any reason for doing so; in such case any monies sent will
be returnable to the Owner on demand.
ii. On acceptance of an application, the applicant will
be given a Membership card which will remain the property of the
Owner and upon termination of membership for whatever reason will be
returnable to the Owner on demand.
3. The Membership year of the Club shall run to such period of 12
months as the Owner or the Manager may determine.
i. The entry fee, membership subscription and charges for
individual facilities shall be such amounts as the Owner in its sole
discretion shall determine from time to time.
ii. Membership of the Club shall commence from the day of
iii. Membership shall be renewed by the payment to the Club
of the subscription fee from time to time in force on or before the
expiry date shown on the Member's membership card. The Owner or the
Manager may refuse to renew the membership of any Member without
giving any reason therefore.
iv. Membership is non-transferable.
4. The times at which any or all of the facilities shall be
available to Members and guests shall be at the discretion of the
Owner or the Manager. Any or all of the facilities may be closed at
any time for the purpose of cleaning, decorating, repairs or special
5. On entering the Club, all Members must sign the book and swipe
membership card at the reception desk. All guests must be accompanied
by a Member and must also sign the aforementioned book. Membership
card must be shown at all times.
i. Except with the prior consent of the Manager, no Member
shall at any time introduce any guest who has been rejected as a
Member or had his Membership terminated or suspended. A Member
introducing a guest shall be responsible for the good conduct of such
guest whilst on Club premises and shall ensure that such guests shall
comply with the rules of the Club. A Member shall not leave the Club
premises before his guest.
ii. Each Member shall be entitled to be accompanied by not
more than two guests and shall be responsible for payment of the
appropriate charges (specified from time to time by the Owner) for
such guests use of the facilities. The same guest shall only be
admitted THREE times in any one subscription year.
6. Members and their guests are particularly advised not to
undertake strenuous physical activity for which they might be
medically unfit and the Owner will not be in any way responsible for
any harm which may come to a Member or guest as a result of his
undertaking within the Club any activity which is beyond his physical
capability. Members and guests are advised to have a medical check-up
before embarking on strenuous exercise.
7. Gym shoes or trainers must be worn at all times in the gym
area. Outdoor shoes and clothes are not permitted in the gym except
when entering/exiting the pool area.
8. Members should not use the facilities of the Club while under
the influence of alcohol, anti-coagulant, anti-histamines,
vasaconstrictors, narcotics or tranquillisers. Those with diabetes,
heart disease or high/low blood pressure should check with their
doctor or members of staff that it is safe for them to use the Club's
9. At no time will any person under 16 years of age be permitted
to use such facilities unless accompanied by an adult who shall at
all times be responsible for that person's conduct. For safety
reasons children under 16 years of age are only permitted to use the
swimming pool and whirlpool spa.
10. The Owner and its employees will not be liable in any way for
the loss of, or damage to the property of Members or guests or for
personal injury to, or death of, any Member or guest, except to the
extent that such loss, damage, personal injury or death arises from
the wilful act, neglect or default of the Owner or any of its employees.
11. The Owner or the Manager in its absolute discretion and
without giving any reason therefore, may at any time terminate the
Membership of any Member. It shall be at the sole discretion of the
Owner whether or not a Member's subscription shall be repayable to
him in whole or in part in any case of termination of membership.
12. The Owner shall have the power and right at any time upon one
month's notice to Members to discontinue the Club upon refunding to
Members the unexpired portion of their current subscription.
13. By their Membership Members accept and agree to be bound by
the rules of the Club from time to time in force.
14. The Owner in its sole discretion may at any time vary these
rules or any entry fee or membership subscription or any of the
charges for the use of any or all of the facilities.
15. Members will further comply with any directions which the
Manager may give to ensure the smooth operation of the Club, the use
of the facilities and the convenience of all Members.
16. Any dispute or difference which may arise in regard to the
interpretation of these Rules shall be determined by the Manager or
the Owner whose decision shall be final and binding on all Members.
Conferences, Weddings, Groups & Special events
All confirmed bookings made by customers in respect of suites or
rooms are accepted by Flackley Ash Hotel (here after called the
Hotel) upon the following terms & conditions.
1. In the event of cancellation of any confirmed booking or non-
arrival by the customer, the customer shall pay to the hotel a
cancellation or non-arrival fee. However, the Hotel shall do its
utmost to re-let the accommodation, but if having used their best
endeavours the hotel is unable to do so, the following cancellation
2. Where a cancellation of an event, or reduction in numbers for
a conference or pre-booked facilities is made, the following charges
If a booking is for less than 50% of the Hotel's total number
of bedrooms or in the case or room hire bookings only:
91-120 days before date of arrival 20% of anticipated revenue
61- 90 days before date of arrival 40% of anticipated revenue
31- 60 days before date of arrival 60% of anticipated revenue
15 - 30 days before date of arrival 80% of anticipated revenue
0 - 14 days before date of arrival 100% of anticipated revenue
For bookings of half or more than half of the hotel bedrooms:
120-150 days before date of arrival 25% of anticipated revenue
91 - 120 days before date of arrival 50% of anticipated revenue
31 - 90 days before date of arrival 75% of anticipated revenue
0 - 30 days before date of arrival 100% of anticipated revenue
3. All cancellations must be made in writing; by registered post
otherwise 100% charge will be made for total business lost
4. The hotel reserves the right to cancel any bookings forwith,
without any liability on its part in the event of damage or
destruction of the hotel by fire or any other causes, any shortages
of labour or food supplies, strikes, walkouts or industrial unrest or
any other cause beyond the control of the hotel, which shall prevent
it from performing its obligation in connection with any booking. In
these circumstances, every effort will be made to accommodate the
booking in another similar hotel of an equal standard.
5. The customer shall notify the hotel in writing not less than
five clear working days prior to a function or event the final
numbers attending. If a customer's booking is accepted by the hotel
on the basis that a minimum number will attend the function for which
the booking is made, the amount payable shall be calculated on the
minimum number or the number attending, whichever is the greater.
6. If the number of persons is reduced by 10% or more of the
original number guaranteed, the hotel reserves the right to change
the booking to a different suite or room (as best fits the numbers
7. The hotel reserves the right to require the payment of a
deposit and/or full prepayment at anytime prior to the holding of the
function, the amount of which is generally as follows:
Wedding receptions and private functions a non-refundable
deposit of £500.00. Full payment of the expected balance is required
10 working days prior to the day of the wedding/function. Balance of
any additional items prior to departure. Exhibitions ? Full payment

Account and Settlement Conditions
9. Customers may request direct billing by filling out a credit
account application form and returning it to the hotel at least 21
days prior to the event. With credit approval by the hotel, a credit
account will be opened, to which all authorised charges will be
billed directly. Credit facilities will only be extended to approve
Our settlement terms are 14 days from the date of invoice.
Presentation of any queries should not prevent payment of the balance
of the bill or nay other outstanding amounts. In view of the high
cost of financing, interest will be applied to overdue accounts.
10. The hotel cannot accept responsibility for the property of
customers or their guests. Cloakrooms are provided for convenience of
customers and guests but any goods deposited in the cloakroom are
deposited at the owner's risk and without obligation on the part of
the hotel. We refer to the Innkeeper's Liability Act 1956, a copy of
which is available for inspection at reception.
11. The customer shall be responsible for any damage caused to the
hotel or the furnishings, utensils or equipment therein by the wilful
act of default of the customer or guests of the customer and shall
pay on demand the amount required to make good or remedy such damage.
12. The customer shall not deliver or arrange for delivery any
goods or materials to the hotel unless on hand to accept the delivery
or have made prior arrangements with the hotel. The hotel cannot
accept responsibility for the property of customers and guests.
13. The customer shall not place or store in the hotel or other
buildings on site or in the grounds any inflammable or combustible or
14. We cannot allow food or drink other than that purchased on the
premises to be consumed within the hotel.
15. On the day of arrival bedrooms are not retained after 1800
hours unless one nights terms have been paid in advance or written
confirmation of the time of arrival has been received. Check in time
is 1400 hours or later. Guests arriving prior to 1400 hours may store
their luggage in reception if their rooms are not ready. Check out
time is no later than midday on morning of departure.
16. All meetings must terminate by 1700 hours unless, at time of
booking, the hotel has expressly agreed a later time.
17. The conference rooms and exhibition space and any part thereof
shall not be sublet by the customer to any third party without
consent of the hotel
